We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide administrative support to the senior management team at a leading Private Equity fund. In this pivotal role, you will be instrumental in ensuring the smooth operation of daily activities for senior leadership, facilitating effective communication, and maintaining an efficient and confidential work environment.
Key Responsibilities:
- Coordinate complex calendars, schedule meetings, and manage appointments for senior executives.
- Arrange domestic and international travel, including flights, accommodations, and transportation.
- Organize and prepare materials for meetings, including presentations, reports, and agendas.
- Organize, manage, and maintain confidential files, records, and documents.
- Handle sensitive materials with discretion and in compliance with company policies.
- Ensure the office environment is organized and well-maintained.
- Oversee office supplies and liaise with vendors for office-related services.
Qualifications and Skills:
- Minimum of 5 years of experience as an Executive Assistant, ideally within the Private Equity, Investment Banking, or financial services industries.
- Prior experience supporting senior executives or C-suite individuals is beneficial.
- Exceptional organizational and time-management skills.
- Strong attention to detail and the ability to work under pressure.
- Excellent written and verbal communication skills, with a professional and polished demeanor.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with other business software (e.g., Salesforce, CRM platforms).
- Strong problem-solving skills and the ability to anticipate needs.
